Montfort College of Performing Arts strives to comply with all applicable laws and regulations relating to Personal Data protection in Ireland, in accordance with the Data Protection Acts 1998 to 2018 and the EUGeneral Data Protection Regulation 2016/679. Please read the following privacy statement to understand how we use and protect the information that you choose to provide us with.

This policy outlines the basic principles by with Montfort College handles the personal data of parents, children, suppliers, employees and others who are involved with us. This policy indicates the responsibilities of its employees, contractors, volunteers and students while processing personal data.

We may update this policy from time to time in order to comply with regulations as they change or for any other legal, operational or regulatory reasons.

What Information do we collect?

Examples of personal data would be information on each child;

  • Medical instructions and allergy information
  • Dates of birth
  • Legal guardian, contact information etc.

Montfort College collects and processes the following categories of personal data in relation to staff;

  • Demographic information including name, DOB, gender, staff photograph
  • Contact information
  • Employment information Education and Training information
  • Mandatory Registration information
  • CCTV images
  • Tax and social welfare information ( where applicable)
  • Financial  and payroll information  including bank account details and salary information

All employees either permanent or temporary, all contractors, all volunteers and students need to read and understand this policy. This is available on request to outline how we obtain, hold and process personal data.

When you visit our website you may provide us with two types of information:

Personal information you knowingly choose to disclose that is collected on an individual basis and

Statistical website information collected on an aggregate basis as you and others browse through our website

How do we use your data?

The organisation collects and processes staff personal information, in line with its policies and procedures, in order to appropriately discharge its duties as an employer.

We use the booking information that we collect through the website to fulfil any class booking placed through the site including processing your payment information and providing you with invoices and booking confirmation.

We define the perusal information we collect, what it is going to be used for and we ensure that the personal information we hold is use for the intended purpose only. We do this through our privacy policy, our terms and conditions and our consent forms.

Any information which you provide to us is not made available to any third parties and is only used in line with the purposes for which you provided it.

Who has access to your data?

We do not disclose, sell or distribute any personal information which you send to us to any third parties. Only authorised staff has access to the personal information that we collect. Only those that require the information have access to it. Physical security is considered and all area where information is stored in files or electronic devices is locked and restricted to the staff that uses them on a regular basis. Montfort College ensures the accuracy, integrity and confidentiality of personal data based on the processing purpose. Adequate security mechanisms designed to protect personal data are used to prevent it being stolen misused or abused and to prevent personal data breaches. All records and information that we hold remains secure in line with our obligations under the Data Protection Acts mentioned in the introduction. We review our security processes regularly.

Our website may occasionally contain links to and from third party websites. We are not responsible for the practices employed by websites linked to or from our website nor the information or content contained therein. Your browsing and interaction on any other website including websites which have a link on our website, is subject to that websites own rules and policies.

By using our website you consent to our collection and use of your personal information as described in this policy. Personal information as described in this policy refers to Device information and Booking information.

When you visit the site, we automatically collect certain information about your device including information about your web browser, IP address, time zone and some of the cookies that are installed on your device.

Cookies are a feature of web browser software that allows web servers to recognise the computer used to access a website. Cookies are small pieces of data that are stored by a user’s web browser on the user’s hard drive.

How long do we keep your data?

Montfort College applies the general principle that it keeps persona data for no longer than is necessary. This translates as all data is retained for the duration of employment with the organisation  in order to carry out the proper administration and management in relation to employees’ obligations and benefits.

We do not retain any personal data for longer than it is necessary for us to comply with the purpose for which you gave it. Any personal data which you provide to us using our website will be used in line with the purpose for which you provided it, e.g. to contact you and answer any queries which you have raised in the contact form or to address any other feedback and after this purpose has been completed, we will delete your personal data.

Montfort College as a data controller will provide data subjects with a reasonable access mechanism to enable them to access their personal data, and must allow them to update, rectify, erase or transmit their personal data if appropriate or required by law.

Data subjects have the right to receive upon request a copy of the data they have provided in a structured format and to transmit that data to another controller. Any such request must be made in writing to;

Your request will be dealt with a soon as possible and will not take more than one month to process. You may also request that any information or personal data be deleted/corrected.

Montfort College only seeks consent for the usage of images, videos etc of students and are responsible for providing data subjects with options to provide the consent and must inform and ensure that their consent can be withdrawn at any time.

Montfort College strives to ensure confidentiality in al our communications via email, post and text. In the case of a suspected or actual personal data breach, an internal investigation will be launched and appropriate action taken in a timely manner.

Where this is any risk to the rights and freedoms of data subjects, the Irish Data Protection Authorities must be notified without undue delay and within 72 hours. All affected people must also be informed.
